Marketing Coordinator

 

JOB SUMMARY

Elite Tournaments is seeking a Marketing Coordinator to provide support for the Marketing and Business Development Departments of the company. The primary function of this position will be assisting the Director of Marketing in implementing all marketing plans for soccer and lacrosse events. This position will also assist the Director of Business Development with soliciting, contracting, and coordinating vendors for events. 


RESPONSIBILITIES
 

Administrative & Analytical

  • Assist Tournament Directors with keeping an updated email database
  • Continually update and manage contact database
  • Report on marketing emails/campaign analytics to necessary departments as needed
  • Report on historical event data for events and clients


Business Development

  • Secure, coordinate, and manage onsite vendors for events
  • Create marketing materials and graphics in order to solicit business from local vendors including flyers, online graphics, etc.
  • Keep accurate and up to date records of vendor negotiations, contracts, and database
  • In conjunction with Finance Department, ensure accurate invoicing of vendors, timely payments, etc.
  • Communicate and distribute deliverables of vendor agreement(s) to relevant staff to ensure that responsibilities are delegated and delivered


Marketing

  • Responsible for content creation, updating, and formatting of marketing emails/campaigns
  • Develop and execute marketing plans for events
  • Design and correspond with relevant parties in creation of tournament logos.
  • Assist in updating and formatting proposals, company documents, document templates, etc.
  • Assist with social media campaigns for events and clients as needed
  • Oversee the procurement of any necessary print materials for events
  • Assist with writing company press releases for new clients, events, and partnerships
  • Assist with website updates as needed


Qualifications and Education Requirements

  • Extensive knowledge of the youth sports landscape and particularly the youth lacrosse and youth soccer tournament, club, sector, and demographic in the United States
  • Superior oral and written communications skills
  • Effective organizational skills for management of multiple tasks
  • Bachelor’s degree in Sport Management, Communications, Marketing, or a related discipline
  • Two (2) to three (3) years’ experience in operation of sporting events, leagues, facilities, and/or professional teams


Preferred Skills

  • Advanced knowledge of products in Microsoft Office Suite; particularly Excel
  • Advanced knowledge of Adobe Creative Suite software
  • Preferred knowledge of graphic design and video editing
  • Knowledge of GotSport software application, or other applicable registration software


Additional Requirements

  • Ability to lift 50 pounds
  • Ability to work weekends, irregular hours, and travel as needed
  • Valid driver’s license and safe driving record

Event Operations Associate (Lacrosse)

 

JOB SUMMARY

The Event Operations Associate (Lacrosse) will assist the Lacrosse Tournament Director, VP of Event Operations, and the Event Operations Manager with the planning and execution of all Elite Tournaments and Elite Promotions events along with a direct focus on operations for the IWLCA recruiting events series. This position encompasses a wide variety of planning and management responsibilities while maintaining a high level of customer service through the progression and completion of the events. 


RESPONSIBILITIES
 

Operations (IWLCA)

  • Provide on-site event and venue management during all IWLCA Recruiting Tournament Series events and additional clinics if applicable
  • Assist with the Develop Project Management Plan, Communication Plan, and Risk Management Plan for assigned events
  • Evaluate equipment both prior and post-event to ensure the items are in proper working condition while keeping an updated inventory throughout the year
  • Develop and manage equipment distribution plans for field and site set-up
  • Develop and implement equipment breakdown methods to maximize efficiency on-site
  • Procure equipment and supplies needed to conduct event operations to include but not limited to ordering and coordination with suppliers while serving as the company liaison to venue operators (i.e. portable restrooms, commercial and utility vehicles, table and chairs etc.)
  • Conduct facility site visits and maintain a database of facility assets and operational details
  • Oversee the customization of facility maps for website and internal use by participants and supplier orders (i.e. field lining and portable restrooms)
  • Coordinate rental pick-up/drop-off of tournament items (i.e. goals etc.) from local lacrosse clubs
  • Assist with the coordination of all college coach hospitality needs to include setup, food, and snacks
  • Serve as company liaison to Gatorade to organize ordering and distribution of Gatorade products for designated events
  • Prepare and distribute materials for site coordinator and field marshal binders
  • Other duties as assigned


Communication (IWLCA)

  • Connect with appropriate stakeholders regarding venue requirements for designated events
  • Coordinate operational needs and requirements with clients for assigned events
  • Correspond with event staff, including workers and athletic trainers, regarding their placement for the weekend and responsibilities prior to and during events
  • Manage hotel requests for referees and referee assignor


Administration (IWLCA)

  • Recruit and assign workers and athletic trainers for all IWLCA events and manage corresponding hotel requests.
  • Project payments for scheduled staff and report to VP of Operations and CFO
  • Forecast and track consumable expenses and record in the appropriate ledger
  • Maintain event staff assignments and payment databases
  • Procure all certificates of insurance required for all IWLCA events


Additional Operations/Communications/Administration Responsibilities

  • Assist with the preparation and organization of all Elite Tournaments and Elite Promotion Events
  • Develop Other duties as assigned

Regional Club Liaison

 

JOB SUMMARY

The Regional Club Liaison will be responsible for the recruitment and retention of participating teams in Elite Tournaments Events.  The Liaison will communicate with coaches, managers, and administrators to recruit and place teams in the proper tournaments.  The Liaison will develop tournament bracketing and schedules for events as well as will work with the Marketing Department to assist in the development of a marketing plan specific to the youth soccer demographic. The Regional Club Liaison will play an integral role in further developing the Elite Tournaments name and brand in the youth soccer market.


RESPONSIBILITIES
 

Sales / Communication:

  • Recruit teams and clubs to attend tournaments
  • Serve as the primary contact for team officials to retain teams retain teams year to year
  • Communicate event rules and protocols to teams
  • Communicate schedule with Referee Assignor for field loading and scheduling
  • Attend tournaments, trade shows, and other events to interact with team officials
  • Assist Business Development Department to develop leads for new business by analyzing trends and results in the soccer industry
  • Assist in the recruitment of college coaches to attend events


Operations

  • Assist in the tournament permission to host application process
  • Set-up tournaments within GotSport, or other application software
  • Develop tournament schedules to account for team requirements, referee availability, field availability, and coaching conflicts
  • On-site tournament director for various events
  • Assist Operations Department in projecting awards numbers for events
  • Assist Operations Department with development of logistics plan through integration of game schedule


Marketing

  • Develop contacts database for teams, coaches, and administrators
  • Coordinate with Marketing Department to ensure all event website information is up to date with necessary details
  • Assist Marketing Department with development of marketing materials (digital and physical implementation)
  • Assist Marketing Department in the development of event marketing plan specific to the youth soccer demographic


Administrative:

  • Assist in completing tournament sanctioning and post-event reports
  • Assist in creating and updating tournament rules
  • Assist in the communication process for our travel agency by acting as the liaison for teams
  • Serve as the primary contact for our registration software to answer registration questions, event-specific questions, and updating all event pages year to year


Qualifications and Education Requirements

  • Extensive knowledge of sports and particularly the youth soccer community and demographic in the United States
  • Superior oral and written communications skills
  • Effective organizational skills for management of multiple tasks
  • Bachelor’s degree in Sport Management or a related discipline

Event Staff -Temporary Opportunities  

 

JOB SUMMARY

Event Staff work with full-time permanent Elite Tournaments staff to execute onsite tournament operations.  Event Staff may fill various roles during a tournament including, but not limited to, site coordinator, field marshal, score keeper, merchandise sales, setup/breakdown, parking management, and other duties.  Event Staff will be the front line of customer service assisting players, coaches, and spectators during the tournament.
